Should Your Cleaning Clients Sign Contracts?
When it comes to client contracts or work orders, we don't necessarily have our clients sign off, but we do have a paper trail to keep things organized. At our cleaning company, we use what we call a "clean green," which is basically our contract that includes the punch list or final bid, and the final checklist of what we are going to clean.
It all starts with our questionnaire, which is the first part of our paper trail of communication with all of our new clients. It is imperative to have our clients fill out this questionnaire, even if we are talking on the phone with them. This way, we have a paper trail of what they have been asking for from the beginning of the onboarding process with us.
In the questionnaire, we list everything in our service menu, and our clients tell us which service they would like to opt into. They can also tell us if they'd like to adhere to a budget, include any add-ons, or opt-in or out of any particular routine cleaning service items. They can also specify any details of their house, such as if they want to skip any items during the cleaning.
The second step in our process is the walkthrough, which is done by our GM or our manager. They are the ones who will also be communicating with the client during the first clean and the punch list. If the GM does the walkthrough and has all the notes for the client, she sends the official bid, and she is the one who has been communicating with the client throughout the onboarding process. She will also be the one who sends the cleaning agreement and coordinates everything for the initial clean.
During the initial clean, everything is taken care of from start to finish, with all the owners on site, and our admin staff who helped decide what the checklist will entail. We treat it as if it's a punch list at the end of the clean, and that goes through our GM or our manager to ensure that all items were done properly. We don't go through the list with the client necessarily at the end of the clean, but we communicate thoroughly with the client before the clean starts.
After the clean is in progress and ends, the GM and manager work together to make sure everything was done properly. This way, we can ensure that our clients are satisfied with our services and that we have a system in place to keep things organized and efficient.
